The Malaysian training industry is entering a new phase of compliance and operational discipline following the latest circular issued by HRD Corp in May 2026.

The revised grant application policy introduces significant procedural changes that affect both employers and training providers, especially in how training grants are applied for, approved, and managed.

While the objective of these updates is to improve efficiency, governance, and accountability within the HRD Corp ecosystem, the reality is that both employers and training providers must now be far more proactive and organized to ensure smooth grant approval and training execution.

What Does This Mean For Employers Training With Mysheqa?

While the new requirements may initially appear overwhelming, proper planning and coordination can make the process smooth and manageable.

To ensure a smooth registration and grant application process, employers and participants are encouraged to follow the recommended timeline below when registering for training with MySHEQA.

Step 1: Register Through MySHEQA Platform (30 days before training date)

Interested participants or employers must first register for their chosen training program through MySHEQA’s registration platform.

It is recommended that registration should be completed at least thirty (30) calendar days before the training commencement date. This is to provide sufficient time for administrative processing, documentation preparation, and grant application submission for MySHEQA and the employer.

MySHEQA reserves the right to reject late registrations that may not reasonably meet the stipulated HRD Corp approval timeline.

Step 2: Submission of Supporting Documents

Within twenty-five (25) to thirty (30) days before the training commencement date, MySHEQA will provide the necessary supporting documents required for HRD Corp grant application purposes.

These documents include:

    • Quotations
    • Training outlines
    • Trainer profiles
    • Supporting administrative documentation (if required)

To simplify the process, the MySHEQA team has agreed to include the above documents in one single document, namely the course Training Brochure.

Under the latest HRD Corp policy, employers are only allowed one (1) query per grant application, and any query raised must be addressed within five (5) working days. Failure to respond adequately or within the stipulated timeline may result in rejection of the grant application.

As such, employers are encouraged to review all submitted information carefully before proceeding with the application.

Step 3: Training Confirmation by MySHEQA

The MySHEQA team will strive to email participants registration confirmation within forty-eight (48) hours after submission of the completed registration form.

The completed registration form shall also serve as the official Purchase Order (PO) for the training registration.

This confirmation allows employers to proceed confidently with their HRD Corp grant application process. However, registration confirmation does not guarantee that the training will commence.

At least fifteen (15) days before the training commencement date, the MySHEQA team will issue a Training Confirmation to registered participants or employers.

Step 4: HRDCorp Grant Processing

According to HRDCorp’s latest updates, grant applications are generally expected to be reviewed and either approved or queried within twenty-four (24) hours.

However, employers should not rely entirely on this timeline, as processing duration may vary depending on application quality, supporting documentation, and HRD Corp operational conditions.

Most importantly, employers must ensure that the grant is successfully approved at least fourteen (14) days before the training commencement date.

Under the latest HRD Corp guidelines, approved grants may no longer be modified. In the event of changes involving participants, training dates, or programme arrangements, employers may be required to cancel the approved grant and submit a new application.

After obtaining grant approval, employers are required to submit the approved Grant ID to the  MySHEQA staff.

Step 5: Attend Training Without Last-Minute Hassles

Once approval is obtained, participants may proceed with the training smoothly and confidently without the stress of pending approvals, rejected applications, or compliance complications.

Training Confirmation emails for training programs will be issued at least fifteen (15) calendar days before the training commencement date.

Participants and employers are also reminded that the participant attending the training must be the same individual registered under the approved HRD Corp grant application unless officially communicated to the MySHEQA Operations Team at least one (1) working day before the training commencement date.

With proper planning, timely submissions, and close coordination with MySHEQA, employers can continue to maximize their HRD Corp utilization while ensuring a smooth and compliant training experience.
